Nextiva vFax Review
Nextiva vFax offers three different plan types. The Single User plan is $4.95/month if you sign up for a year, or $8.95/month if you pay monthly, and allows 500 combined sent/received pages. The Small Business plan is $12.95/month for the year, or $19.95/month on a month-to-month subscription, and gives you 1,000 pages to send/receive per month. Lastly, the Business Pro plan allows 3,000 combined sent/received pages for $29.95/month annually, or $34.95/month without a one-year commitment. All of the plans also have the option to add a toll-free number at no additional charge, and you can try any of them out with a free 30-day trial.
The sign-up page will first prompt you to choose your state, which will pull up a list of area codes to choose from. After selecting your desired area code, a list of available numbers will be displayed for you. If you already have a fax number that you would like to keep, you can call customer support to get it transferred over. After you have selected a number, you are required to fill in your contact information, including your address and phone number, and billing information. Nextiva vFax does offer a free 30-day trial, so your card will not be charged until the trial period expires. If you wish to cancel before the 30 days, you can do so with no penalty. Once you confirm all of your information and your transaction is processed, the welcome page pops up and a welcome email is delivered to your email inbox. This email includes an order confirmation receipt, tips to getting started and a temporary password to use upon your first login.
When you first log in, you are taken to your dashboard, which features five large, easy-to-read buttons at the top of the page; your general account information, activity summary and recently sent/received faxes are listed under these navigation buttons. The five buttons are Search, Send a Fax, Fax Settings, Update Profile and Check Billing. We found it odd that Update Profile and Fax Settings took you to the same page, which allows you to edit things like your name, company name and email notification settings, as well as personalize your cover letter for sending faxes.
The Search button takes you to a page where you can sort through all your faxes with filters that include incoming faxes, incoming faxes success and incoming faxes failed. Check Billing gives you an overview of your billing date, current plan, page allotted per month on your plan, any extra pages you've purchased outside of your plan and the number of faxes sent and received during that month. You can also view a summary of this information on your main dashboard, where recent faxes are listed along with their corresponding date, time, sender or recipient fax number, number of pages and status (processing, failed or success).
Sending a fax with Nextiva vFax is very simple but takes a few more steps in comparison to other Internet fax services. The five steps you must complete to send a fax are entering recipient information, adding attachments, previewing your fax, sending your fax and then confirmation results. When entering recipient information, you have the option to import a fax number from your address book on Nextiva vFax or manually enter it in. You can also edit your name if you wish the sender's name to show up as something other than what you registered your account under. You can choose whether or not you'd like to include a cover page and add notes. This is also where you can schedule when you'd like to send your fax. We really liked this feature because it gave us the option to send immediately or send anywhere from one to 90 days in the future.
Nextiva vFax supports many different file types for attachments, including image files, Adobe files, all Microsoft Office files, printer file formats and various text file formats. You can add up to 10 attachments per fax. Before you send your fax, Nextiva vFax will show you a preview of what it will look like when sent, giving you the option to change anything if need be. You can also add up to five other email addresses to receive a copy of the fax transmission before you send it. After hitting send, it took a mere one minute and 15 seconds for it to go through. Receiving a fax with Nextiva vFax was just as expedient and only took one minute. The quality was legible and the cover page it includes is very professional looking and similar to those used with traditional fax services. The mobile app for Nextiva vFax is free but currently only supports its VoIP services.
There are two different toll-free numbers for customer support; one is for sales and one is for other support. Live chat is easy to access on Nextiva vFax's website, and it even displays a photo of the representative you are speaking with. Here, you have to option to request a representative to call you directly if you wish as well. Both the phone and live chat support are available Monday through Friday from 6 a.m. to 6 p.m. MT. Email support is also available to help with any questions or concerns. We found the representatives to be friendly and knowledgeable, and the wait time was no longer than a few minutes.
Nextiva vFax offers great plans at competitive prices. The steps to send a fax are a little tedious and time-consuming when compared to other Internet faxing services, which are more straightforward. However, it hosts many features that are beneficial to businesses, such as the option to search and filter your faxes. Nextiva vFax is one of the fastest services we've reviewed in terms of transmitting sent and received faxes, and the customer support team is not only helpful, but easy to reach as well.
